Rental Information

   – Cawston Hall Rental Agreement Waiver Clause

The Renter accepts and will use the equipment at their own risk and agrees that neither the Cawston Community Hall Society nor their directors and employees have made any warranties or representations respecting the suitability or condition of the facility. The Renter further agrees that they will indemnify and save harmless the Cawston Community Hall directors or people engaged to work on the Hall from and against any and all claims whatsoever, including all damages, liabilities, expenses, costs including legal or other fees incurred in respect of any such claim(s) or any action(s) or proceedings(s) brought thereon arising directly or indirectly from or in connection or contributed to by the negligence of the Cawston Community Hall directors or anyone engaged by the Hall to undertake work or tasks within the area and the grounds of the Hall.

The Renter represents that if they execute this rental agreement on behalf of a Group or Organization that the Renter has sufficient power, authority and capacity to bind the Group or Organization with their signature.

The Renter, in consideration of being granted permission to use the facility, agrees to be bound by the Terms and Conditions referred to below and if the Renter represents a Group or Organization, the Renter agrees to inform all responsible officials associated with the Group or Organization of the Terms and Conditions.

Terms and Conditions

Liquor Licence

The Renter must acquire the appropriate Liquor License if alcohol is being served or consumed in the Hall premises. The Renter must provide the Hall with the name of the person(s) who will be providing security as required by the Liquor Licence. The liquor servers must have either a Special Events or Serve it Right certificate visible in the serving area. The Hall reserves the right to deny future rental to renters who fail to provide security personnel for an event. Liquor sales or serving must end at 1:00am and the Hall must be vacated by 2:00am. Renters should provide designated drivers and security personnel. Renters should erect outside fencing (supplied by the Hall) to contain visitors in a designated area. Big events need liability insurance. Renters must not exceed maximum occupant capacity.

Clean Up After Rental

  1.  Floors must be swept.
  2. Chairs must be stacked on the dollies.
  3. Dishes washed and put away.
  4. All empty bottles and cans must be taken away.
  5. Clean up must be finished by noon the following day.
  6. Put recyclables in appropriate bags.

Decorating

  1. Use scotch tape to attach tablecloths to tables and no staples.
  2. NO staples or tapes on the walls please. Pegs can be used in the upper walls. Push pins can be used on the other walls.

Equipment Rental

Anyone renting the sound system and/or the light system must have someone who is familiar with their operation on site, pay a damage deposit of $100.00, and agree to pay for any damages to the unit or replacement of the unit (if necessary) due to improper use.

Can I rent the hall without filling in the online form?

While we encourage guests to use our online rental form, otherwise email us directly at cawstonhall@gmail.com.

Can I rent the hall in 15 minute or 30 minute increments?

You may only rent the hall by the hour. You can, however, choose the starting time of your rental slot to start either on the hour or the half-hour.
